Privacy Policy

This Privacy Policy explains how coliReli ("the app"), operated by Colireli ("we"), accesses, uses, stores and shares data, including data obtained through Google APIs.

1. Google user data we access

The app connects only to Colireli's own Google account, with the following scopes:

• Gmail (send): to send recruitment emails to applicants from Colireli's mailbox. The app does not read, index or analyze the content of the mailbox.
• Google Sheets: to read job-application responses and to update Colireli's recruitment tracking sheet.
• Google Drive: to detect new rows in Colireli's application spreadsheets (required by the Google Sheets trigger) and to read links to files applicants uploaded through Colireli's forms.
• Google Calendar: to create interview events in Colireli's calendar.

2. Applicant data processed

Applicants voluntarily submit their data through Colireli's Google Forms: name, contact details (email, phone, address), date of birth, education, work experience, answers to application questions, CV, photo and other documents. This data is used solely to manage their application and contact them about it.

3. How we use data

• Sending application, reminder, confirmation, interview and decision emails.
• Tracking each application's status.
• Scheduling face-to-face interviews.

We do not use the data for advertising, profiling, or training of AI/ML models, and we do not sell it.

4. Sharing

Data is not shared with third parties. It is accessible only to Colireli's HR staff. Data is processed on Colireli's own n8n server (hosted on an OVH virtual server) and in Colireli's Google Workspace services.

5. Limited Use disclosure

coliReli's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

6. Storage, security and retention

Google OAuth tokens are stored encrypted on Colireli's n8n server, accessible over HTTPS only. Application records are kept in Colireli's Google Sheets for the duration of the recruitment process and up to 12 months afterwards, unless the applicant asks for earlier deletion. Workflow execution logs on the server are automatically deleted after 14 days.

7. Your rights

Applicants can ask to access, correct or delete their data, or withdraw their application, by writing to colirelidz@gmail.com. We reply within 30 days. Colireli can revoke the app's access to its Google account at any time from Google Account permissions.

8. Changes

We may update this policy; the date above shows the latest version.
